Why KYB Onboarding Takes Weeks: 5 Challenges and How AI Helps

KYB verification is the slowest stage of partner onboarding for most teams — not because applications get rejected, but because they stall. Here are the 5 challenges we see, and how AI handles each.

Why KYB onboarding takes weeks: 5 challenges in verifying business documents and how AI helps

You’ve signed a new partner, and they’re ready to start selling or listing with you. Before that can happen, your team has to vet their business documents to confirm the company is legally registered, legitimate and owned by the people it names. This process is known as Know Your Business (KYB).

For many teams, KYB verification is the slowest stage of onboarding. Few applications are rejected outright. Instead, they stall: in an inbox, in a review queue, or forgotten in a shared folder. The partner is left waiting too, and the longer the wait, the more likely they are to choose another provider.

KYB vs KYC

KYC (Know Your Customer) verifies an individual. KYB verifies a business, and usually includes KYC checks on the people behind it, such as directors and ultimate beneficial owners (UBOs).

Common KYB documents include a certificate of incorporation or business registration certificate, articles of association, a register of directors and shareholders, proof of business address, and ID documents for directors and beneficial owners.

Where the time actually goes

The KYB onboarding process is simple to describe. In practice, the work is spread across emails, PDFs and scans. Most of the delay comes from routine cases rather than exceptions: document packs that arrive incomplete, details that have to be checked by eye, and data that has to be re-entered into another system.

The 5 challenges we see in KYB onboarding

1. Missing documents are spotted days later

KYB requirements are usually clear about which documents are needed. The problem is that nobody confirms the pack is complete until a reviewer opens it, often days after submission. By then, requesting the missing document restarts the wait and adds time that could have been avoided.

2. Simple cases get stuck behind complex ones

Most applications are routine: a standard company structure, clear documents and nothing unusual. A small number need closer judgement, such as layered ownership or a document that raises questions.

When every application goes into a single queue, the simple cases wait behind the complex ones. A partner who could be approved within an hour may end up waiting a week.

3. Teams manually check that every document matches

The shareholder register says “CHAN Tai Man”. The ID document says “CHEN Tai Man”. It could be a typo, a different romanisation or a different person.

Spotting discrepancies like this means comparing names, numbers and addresses across several documents, line by line. The work is slow, and details are easily missed when reviewers are handling a high volume of applications.

4. Hours spent copying document details into the CRM

Once a business is approved, its details still have to be entered into your CRM or onboarding system: company name, registration number, address and business type.

This is usually done by hand, one document at a time. It’s repetitive and time-consuming, and every manual entry is a chance for an error that causes problems later.

5. Every country formats company documents differently

A Hong Kong business registration certificate looks nothing like a Singapore ACRA business profile or a UK Companies House record. The registration number has a different name, sits in a different place and follows a different format.

For teams onboarding partners across borders without local reviewers in each market, every reviewer needs to know where to find key information on each document type. Template-based tools struggle for the same reason: there are too many layouts to configure and maintain. This is the kind of unstructured data extraction that template-free AI handles better.

None of these challenges comes down to judgement. They’re the repetitive work that slows every application down, and that’s where AI can take the load.
